Privacy Policy

The Latvian National Museum of History (hereinafter – the Museum) is a direct administrative institution under the authority of the Minister of Culture, operating in accordance with the Law on Museums, the Statute of the Latvian National Museum of History and other normative acts.

The mission of the Museum is to collect, preserve, study and promote, in the interests of the Latvian state and the people, evidence of Latvian and global spiritual and material culture from the earliest times to the present, which is of archaeological, ethnographic, numismatic, historical or art-historical significance.

The purpose of this Privacy Policy is to explain to you the purposes for which the Museum collects your personal data, the scope of its collection, its protection, the duration of its processing and your rights as a data subject during the collection and processing of the data.

The Museum’s Privacy Policy applies to any natural person whose personal data is processed by the Museum and applies to the processing of personal data regardless of the form in which you or any other natural person has provided personal data: electronic, paper or any other form.

When processing personal data, the Museum complies with the laws and regulations in force in the Republic of Latvia, Regulation (EU) 2016/679 of the European Parliament and of the Council on the protection of natural persons with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC (General Data Protection Regulation), as well as other laws and regulations in the area of privacy and personal data processing.

What personal data does the Museum process and why?

The Museum processes your personal data in order to achieve the relevant purpose of the Museum’s data processing. The Museum does not request or collect information about an individual that is not necessary for the achievement of a specific purpose.

The Museum processes the following categories of personal data:
– Name, surname, home address, and/or e-mail address – for communication and storage purposes;
– Name, surname, personal identification number, home address, and in some cases also current account number – for the execution of various legal transactions;
– Name, e-mail address, telephone number, education, work experience, language skills, and other information you have provided to the Museum – for the recruitment process;
– Name, surname, signature – for the purpose of filling in a reader’s card in the Museum library;
– Name, signature, telephone number, and/or email – for applying and registering for events organised by the Museum;
– Personal image – for video surveillance in certain areas of the Museum, as well as for taking photographs during Museum events.

On what legal basis does the Museum process your data?

The Museum processes your personal data on the following legal grounds:
– Consent of the data subject (you). The data may be transferred, for example, when applying and registering for an event organised by the Museum, etc;

Processing of child data

The processing of data of minors based on the consent of the data subject is only possible with the written consent of the parent or legal guardian;
– Performance of a contract. The processing of data may take place when you enter into any legal transaction with the Museum, including by gifting an object to the Museum, donating, receiving royalties, or making payment for paid services provided by the Museum;
– Compliance with legal requirements. The collection and storage of data is for the purpose of fulfilling the requirements set out in a regulatory enactment, for example, accounting regulatory enactments and enactments related to the Museum’s core business;
– Compliance with the legitimate interests of the Museum. Data processing is the collection and storage of data which have come into the Museum’s possession as a result of communication, staff selection, the process of obtaining objects from the collection, as well as video surveillance, and which have been collected in order to safeguard the Museum’s essential interests, such as security, the protection of its own interests, or the performance of its museum functions.

Categories of recipients of your personal

Your personal data may be transferred to other parties in the manner and in the cases provided for by the regulatory enactments, such as third parties, which may be cooperation partners, persons authorised pursuant to regulatory enactments, concluded contracts, as well as controlling authorities, and law enforcement authorities. Before transferring data to third parties, the Museum carefully assesses whether there is an appropriate legal basis for such transfer.

Storage of personal data and storage period

Personal data shall be kept for as long as its retention is necessary for the relevant purposes of the processing of personal data and in accordance with the requirements of the applicable laws and regulations, and for as long as at least one of the following criteria applies:
– there is a legal obligation to retain the data for a certain period of time in accordance with the laws and regulations;
– it is necessary for the pursuit of legitimate interests;
– it is necessary to fulfil a contractual obligation;
– the data subject’s consent to the processing of the personal data is valid.

Security

The Museum uses various security measures (physical, technical, and administrative procedures and means) to prevent unauthorized access to, disclosure of, or other improper use of your personal data. Information processing, storage, and data integrity is ensured with an appropriate level of security. The implemented security measures are continuously improved in accordance with the security requirements.

Rights of the data subject in the processing of personal data

As a data subject, you have a number of important rights that you can exercise while your data is being processed at the Museum. When exercising your rights, please use the contact details provided in the “Controller and contact details” section of this Privacy Policy.

Please note that upon receipt of your submission, the Museum will assess its content and your identifiability and, if necessary, ask you to provide additional information in order to make it as certain as possible that the data will be sent to the relevant data subject and to reduce the risk of misuse of your data.

– Access to your personal data. You have the right to request confirmation from us as to whether we are processing personal data relating to you and, in such cases, to request access to the personal data we are processing about you.
– Right to rectification of your personal data. If you believe that information about you is incorrect or incomplete, you have the right to ask us to correct it.
– Right to object to processing. You have the right to object to the processing of your data by the Museum. In this case, the Museum will assess the validity of your objection and may continue to process your data after a decision has been made, provided that the Museum has compelling motivated reasons for continuing the processing.
– Right to erasure. You have the right to ask us to erase your personal data, however, this does not apply in cases where the laws and regulations require and enable the Museum to retain the data, as well as in cases where it is technologically and through reasonable efforts impossible.
– The right to restrict the processing of your data. You have the right to request the restriction of the processing of your personal data in certain circumstances. This right includes the temporary restriction of the processing of your data in order to verify the accuracy of the data and the lawful basis or to enable the data subject to exercise another legitimate interest.
– Withdraw consent to the use of your data

Where processing is based on your consent, you have the right to withdraw your consent to the processing of your personal data at any time, without prejudice to the processing of data that took place before the withdrawal of consent. The Museum will assess your claims in accordance with its legitimate interests. If the personal data is no longer necessary for the purposes of the processing as set out above, it will be deleted.

Video surveillance

Video surveillance is carried out on the Museum’s premises with the aim of preventing and detecting criminal offences and ensuring the safety of Museum staff, visitors, and the Museum’s collections. The Museum has posted signs informing the public about the use of video surveillance.

If you visit the Museum or participate in Museum events and do not wish to be photographed or filmed, please inform the Museum staff member responsible in advance.

Right to lodge a complaint

If you have any questions or objections regarding the Museum’s processing of your personal data, please contact the Museum by submitting an application in person at Pulka iela 8, Riga, every work day from 9:00 to 17:00 or by submitting an application electronically and sending it to the e-mail address muzejs@lnvm.lv or das@lnvm.lv. If submitted electronically, the application must be signed with a secure electronic signature.

If you still believe that we have not been able to mutually resolve the issue and the Museum is violating your right to the protection of your personal data, you have the right to file a complaint with the State Data Inspectorate (http://www.dvi.gov.lv/lv/funkcijas/kontaktinformacija/) at Blaumaņa iela 11/13-11, Rīga, LV-1011.

Changes to the Privacy Policy

The Museum is entitled to make changes or additions to this Privacy Policy by publishing the current version of the Privacy Policy on the Museum’s website lnvm.lv.
